If you apply to provide your services as a linguist with Locaria, we will collect additional personal information as part of your registration and, if accepted, to manage our working relationship with you.

This may include: your professional profile, assessment/test results, completed projects or work assignments, payment details, and any other information necessary to manage payments and financial records.

We process this information primarily to manage our contractual relationship with you, and additionally for legitimate business purposes such as future communications, quality control, and maintaining records of past projects and linguists.

Locaria uses its internal platform, Adaptria™, to manage the personal information provided by linguists. All data is hosted on Google Cloud Platform servers located within the European Economic Area (“EEA”), and may be accessed only by authorized personnel of Locaria and its affiliates for the purposes described in this Privacy Policy.

Payment processing may be handled by JPMORGAN CHASE BANK, N.A. (London Branch), and PayPal (Europe) S.a.r.l. et Cie, S.C.A. These companies may host your personal data within the EEA or, where necessary, outside the EEA. Where data is transferred outside the EEA, Locaria ensures appropriate safeguards are in place in accordance with applicable data protection laws (e.g., Standard Contractual Clauses).

Our Website may contain links to third-party websites. We are not responsible for the privacy practices of those websites, and we encourage you to read their privacy notices.

  1. Your choice

You are not required to provide personal data when browsing our Website. However, if you choose not to provide certain information, we may be unable to respond to your enquiry, provide requested services, or manage a working relationship as a linguist.

How we use your information

  • To manage the work undertaken by our linguists (assignments, payments, profile management).

  • To process payments to linguists and suppliers.

  • IT support and system administration providers.

Our vendor management platform used to manage linguist profiles and projects is owned and operated by Locaria and hosted on secure cloud infrastructure provided by Google Cloud Platform.

Group companies and affiliates

We may share personal data within the Locaria group of companies where necessary for internal administration, service delivery, project management, and reporting purposes.

Professional advisors

We may disclose personal data to our professional advisors where necessary, including lawyers, auditors, accountants, and insurers.

Legal and regulatory authorities 

We may disclose personal data where required to do so by law, regulation, court order, or to protect our legal rights, prevent fraud, or ensure the safety and security of our staff, clients, linguists, and systems.

How we protect your information

Security Measures

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, unlawful processing, accidental loss, destruction, or damage. These measures include, where appropriate:

  • restricted access to personal data on a need-to-know basis;
  • secure cloud hosting infrastructure (including Google Cloud Platform);
  • password protection and access controls;
  • contractual confidentiality obligations for employees and service providers;
  • monitoring and security procedures designed to safeguard our systems.

While we take reasonable steps to protect your personal data, please note that transmission of information via the internet is not completely secure. Although we do our best to protect personal data, we cannot guarantee the absolute security of data transmitted to or from our Website. 

Data Retention

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, including for legal, contractual, and tax obligations. In particular:

  • Personal and contact information related to a contractual relationship will generally be retained for up to 12 months after the end of that relationship, unless we have a legitimate reason to keep it longer.
  • Records relating to payments, invoices, and tax compliance will be retained for up to 6 years (or longer where required by applicable tax or accounting laws).
  • Project records, work submissions, and test results will generally be retained for up to 3 years after the end of the relevant project.

After the retention period ends, personal data will be securely deleted or anonymised so that it can no longer be associated with an identifiable individual. Anonymised information may be retained for statistical analysis and business planning purposes.

International Data Transfers

Some of our service providers and affiliates operate outside the United Kingdom. As a result, personal data may be transferred to countries that do not have the same level of data protection as the UK.

Your rights over your personal data

We do not currently carry out automated decision-making or profiling that produces legal or similarly significant effects.
